Position: Manager, Constituent Record Management

Salary: The estimated salary range for this role is $69,300 - $81,600. The midpoint for this salary range is $81,600. Actual pay will vary based on varying factors, including but not limited to relevant experience.
Position Description
To improve the constituent experience, the Manager will partner with teams across Philanthropy, Technology, and Administration to continuously improve the Philanthropy Division’s data quality in UNICEF USA’s constituent relationship management database. Reporting to the Director, Data Management & Transformation on the Philanthropy Insight team, this role requires a firm grasp of fundraising principles, data integrity, querying and audit logic, and constituent record management proven practices. This includes collecting, reviewing, researching, analyzing, interpreting, validating, and entering information from a variety of sources with technical acumen and integrity. The Manager will balance speed and accuracy to improve UNICEF USA’s completion and contactability rates while reducing erroneous duplicate records. The Manager will lead regular assessments on the health of our file management and data-informed policies and develop process guides for users in Prospect Development, Donor Revenue Management, Stewardship Services, and frontline fundraisers. The role will manage projects in an agile framework consistent with Philanthropy Insight’s culture, communicate throughout the division with end users, and where applicable, lead staff trainings to help the Philanthropy Division recognize the critical role that record management plays in donor stewardship and the fundraising cycle. This position will cross-train in gift entry and basic prospect research to drive their understanding of the role of data integrity in UNICEF USA processes and provide additional capacity in times of significant gift volume.
Key Responsibilities/Outcomes (include but are not limited to):
Record Management (60%)
- Maintain constituent record data quality by reviewing and completing user-requested and import process record updates for names, recognition names, salutations, address, email, phone, employment, relationships, constituencies, volunteer roles, attributes, etc.
- Ensure seamless experiences for our high-value channels, preventing data errors, and improving the accuracy and thoroughness of records; this will involve coordination with prospect managers and Stewardship to intervene in receipting process
- Vet requests for new constituent records and create workflows for adding new constituents, ensuring appropriate relationships are mapped and preventing duplication
- Manage the constituent record duplicate detection and merging process by monitoring matching logic and data flows from routine imports and platforms
- Audit and help map organizational hierarchy among institutional and individual constituent records
- Manage NCOA and undeliverable mail processes for managed constituent records
- Develop a DAF record search and merge process for large imports to ensure accuracy of donors giving history captured on their primary records; develop a DAF record management system through a consolidation methodology
- Standardize processes for constituent contact coding and regularly audit communications statuses
- Advise Philanthropy staff on minimum and ideal completion rates for record adjustments
Data Management & Administration (40%):
- Outline policies for standardization of formatting for key contact and demographic fields in partnership with Prospect Development and Marketing & Communications in line with ethical management of identity data, DREB values and an inclusive constituent experience
- Develop enhanced processes and documentation to continuously update accurate biographic data such as address updates, donor preferences, deceased notifications, data appends, record creation, and record merging
- Advise on and develop new processes for consistent cataloguing and documentation to best support data hygiene and reporting
- Coordinate processes and protocols for capturing select donor correspondence updates/changes on constituent records in a timely manner
- Run audits, build queries, and manage overall data hygiene within CRM and supplemental systems
- Develop and lead staff trainings that advance insights and knowledge of Philanthropy data and processes and connect data quality to constituent experiences
- Update protocols for managing the suppression file in collaboration with Stewardship and Individual Philanthropy teams
- Execute bulk data imports and troubleshoot challenges with Technology team
- During periods of significant volume, support gift entry as a member of Donor Revenue Management team within Philanthropy Insight
Other duties as assigned.
Qualifications:
- 4years of demonstrated experience in fundraising, with fluency of aasp’s Record Management Best Practices;
- Experience with CRMs technologies with a preference for Blackbaud CRM, inclusive of the query logic techniques and tools used to modify, retrieve, and report data from donor database management systems
- Scrupulous attention to matters of discretion and confidentiality required; ability to handle highly sensitive information appropriately and maintain confidentiality with
- r donor information; knowledge of and adherence to ethical statements and guidelines by AFP, Apra, aasp, CASE;
- Strong client-oriented approach to delivering and communicating business solutions efficiently and effectively; ability to collaborate strategically, creatively, and analytically with colleagues at a variety of levels across the country in a complex, fast-paced environment;
- Flexibility and ability to work independently and as a team player with a range of constituents and colleagues;
